Frequently asked questions
- Who signs an employment verification letter?
- Someone with authority to speak for the employer — typically an HR manager, your reporting manager, or a company officer. In practice, employees very often draft the letter themselves and hand it to HR for review and signature; that is exactly what this generator produces. The signatory's full name and title should appear under the signature.
- Does the letter need to be on company letterhead?
- Yes, wherever possible. Banks, landlords and consulates expect verification letters on official company letterhead with a signature and, ideally, a company stamp. Print the generated PDF content onto your company's letterhead, or ask HR to paste the text into their own template before signing.
- Should the letter state my salary?
- Only if the recipient needs it. Banks and lenders almost always want the figure; consulates usually do too; landlords sometimes accept confirmation of employment alone. This generator lets you choose: include your gross annual salary, your monthly salary, or leave compensation out entirely. If in doubt, ask the requesting party exactly what they need before you hand the letter to HR.
- What is the difference between a verification letter and an experience certificate?
- A verification letter confirms current employment — role, start date, employment type, sometimes salary — and is used while you still work there, for banks, landlords, visas or background checks. An experience certificate (or service letter) is issued when you leave, summarising the full period of employment and often the duties performed. If you have already left the company, ask for an experience certificate instead.
- How recent does an employment verification letter need to be?
- Most recipients want a letter dated within the last 30 days, and some visa authorities and lenders insist on it. A letter older than a month or two may be rejected because it no longer proves current employment. Since HR only needs to sign a prepared draft, it costs little to request a freshly dated one for each application.
- Do I need an account or subscription?
- No. You fill in the form, pay once ($14), and download your PDF. No account, no subscription, no recurring charges.
