- Which letters does the pack include?
- Always two: your invitation letter to the consulate and an accommodation declaration confirming your guest stays at your home, including your residence status and whether you own or rent. If you also cover your guest's costs, a third letter — a sponsorship undertaking — is added. Leave the sponsorship section blank to skip it.
- Who is the host in a visa application?
- The host is the person in the Schengen area whom the applicant is visiting — a relative, partner, or friend who invites them and typically provides the accommodation. Consulates want to see who the host is, their status in the country (citizen, permanent resident, or residence permit holder), where the guest will stay, and how host and guest know each other. This pack puts all of that into the letters, from your side.
- What is the difference between an invitation letter and a sponsorship letter?
- The invitation letter says who you are inviting, why, and for which dates — it establishes the relationship and the purpose of the visit. The sponsorship letter is a financial undertaking: you commit to covering some or all of your guest's costs. If your guest funds their own trip, they only need your invitation and accommodation letters; add the sponsorship letter only when you actually pay.
- Does my guest's destination country require an official host document?
- Sometimes, yes — and this matters. Several countries require an official host document instead of, or in addition to, a written letter: Spain's carta de invitación is issued via the police, Germany often requires a Verpflichtungserklärung from the Ausländerbehörde when the host sponsors, and France uses an attestation d'accueil obtained from the mairie. Check the consulate's checklist for your guest's application; this pack covers the written letters consulates commonly ask hosts for.
- What should I attach to the letters as the host?
- Commonly: a copy of your passport or residence permit, and proof of your address such as a rental contract, property deed, or municipal registration. If you sponsor the trip, add proof of income like recent salary slips or bank statements. Attach only what you actually have — the letters will reference your documents only if you tell the form they are attached.
