Schengen Business Visa Cover Letter: Sample & Guide (2026)
A business visa cover letter for the Schengen area states the business purpose of your trip — meeting, trade fair, conference, or negotiation — with exact dates, names the inviting company and references its invitation letter, references your employer's letter, and makes explicit who pays for travel, accommodation, and daily expenses.
A business application contains two letters written on your side: your own cover letter and your employer's letter confirming your position, the purpose of the trip, and (usually) that the company covers costs. Add the inviting company's invitation letter from the Schengen side, and the officer holds three documents that must tell one consistent story — your cover letter is where they are connected.
Business trips are typically shorter and more precisely scheduled than tourist trips, and officers expect that precision to show. Name the event or meeting, its dates and venue, and enclose whatever proves it exists: conference registration, a meeting agenda, or trade fair tickets.

Generate my cover letter →What a business-purpose letter must do
- ✓Name the concrete business activity in the first sentence: 'to attend [trade fair] in [city]' or 'to meet [company] regarding [subject]' — never just 'for business purposes'.
- ✓Reference the inviting company's invitation letter by company name, date, and signatory, and make sure your dates match what the invitation states.
- ✓Reference your employer's letter as a separate enclosure — it confirms your position, that the trip is authorised, and who bears the costs.
- ✓State the funding split explicitly: your employer, the inviting company, or shared — and which document confirms each part. Ambiguous funding is a common weakness in business files.
- ✓Enclose and reference proof the event or meeting is real: conference registration, a meeting agenda with participants, or trade fair entry confirmation.

Frequently asked questions
- What is the difference between my cover letter and my employer's letter?
- Your cover letter is written by you and presents the whole application in your own words. Your employer's letter is written on company letterhead by HR or a manager, confirming your position, that the trip is authorised business travel, and typically that the company covers costs. Both go in the file, and your cover letter should reference the employer's letter as an enclosure.
- The inviting company is paying for my trip — how do I state that?
- Say it explicitly and point to the document that proves it: 'Accommodation and local expenses are covered by [inviting company], as stated in their invitation letter dated [date]; flights are covered by my employer, as confirmed in the enclosed employer letter.' Splitting the funding across two companies is fine — leaving the officer to guess who pays is not.
- Do I need conference or trade fair registration before applying?
- Yes — enclose whatever proof exists that the event is real and you are expected: registration confirmation, entry tickets, or a meeting agenda naming the participants. A business purpose with no evidence of the underlying business is a common ground for doubt.
- My business trip is only four days — does a short trip help or hurt?
- Short, precisely dated trips generally read well for business applications: they match how business travel actually works and demonstrate a clear plan to return. Just make sure every date in your letter matches the event schedule, flight reservation, and hotel booking exactly.
